Always choose a venue that has parking. This is so important! There’s nothing worse than getting to a venue where there is no parking. Not only does it take us entertainers a lot longer to set up but also parents arrive late as they have to try and find a parking space nearby and 9 times out of 10, many will turn up late delaying the start of the party.
Obviously depending on how long you have booked the hall for. (the more time we have to set up, The more we can put in to your party.) We will arrive in good time, unload our equipment, set up our show and do a sound check testing our sound equipment.
You bring in the food, drink, birthday cake etc into the kitchen. Set up the tables and chairs for the party food. Set a table for the presents and lay out some chairs for parents who are staying.
One of the most important factors to the smooth running of a party is the set up of the room. We’ve put together this handy diagram below to help you set up a hall for a children’s party. This information has been put together after many years experience of performing at literally hundreds of shows and is by far the best way to set up a hall. I highly recommend that you have the tables nearest the kitchen to make setting out and clearing the party food away much easier for you. Also by having the parents seated in-between the performance area and food tables creates a barrier so that you can set out the food in peace without being disturbed and also without distracting from the performance. But don’t worry I’ll be there to help you.
From years of experience of performing at literally thousands of parties. If there is one thing that can really make or break a party. It is scattering balloons all over the floor! It may seem like a good idea. But it is totally the opposite. Children will start to run around, pick up the balloons and start hitting each other and popping them which will totally put in the wrong frame of mind. Plus any shy children will then start to get upset and will cling to their parents and will not want to join in. By all means put balloons up as decorations, but please, please NEVER scatter them all over the floor.
Parents often think that letting the children play with balloons will keep them occupied and will give something to do before the entertainment starts. But if you are booking the two hour party, the children will be totally engaged from the minute they walk through the door, so they won’t need balloons or anything else to keep them busy.
As you can see from this short video below. The parents of the birthday child set this room up perfectly and the party ran like clockwork. We can’t stress enough how important it is to get the set up of the room correctly and avoid scattering balloons all over the floor.
We’ll play some background fun music to welcome your guests to the party, so that they arrive to a fun party atmosphere.
Time for some last minute checks and get ready to greet your guests.
We will now take over and run everything for you. we’ll entertain the children right through for the first hour of the party.
You can relax and enjoy all the fun. But If cooking any hot food aim to have it ready 10-minutes before we finish the first half, so that you can start laying out the food.
We will now play some calmer background music to keep the atmosphere going without getting the children too excited and will set up for the second half of the show. We will also keep checking on the children and interacting with gags and jokes etc.
Supervise the food and maybe give parents teas and coffees if you wish. Once you notice that the children have all finished eating. If you can light the candles on the birthday cake and hand it to us.
We will now take the cake from you and get everyone to sing happy birthday and will get the birthday child up to blow out their candles.

We will now lead all the children away from the table and back over to the performance area where we will carry on entertaining them until the end of the party.
You now have a chance to clear away all the party food and cut up the birthday cake ready to go in the party bags.
